ICA GUIDELINES AND TERMS

Price includes:

  • Set-up and clean-up times - (Clients are only charged for the hours the event runs)
  • With caterer - Caterers are allowed three hours for set-up - Caterer is responsible for all set-up, clean-up and trash removal
  • Without caterer - Clients are allowed two hours for set-up - Client is responsible for all set-up, clean up and trash removal
  • Use of ICA equipment
Additional Fees
  • Exhibitions open for viewing (additional fees may apply for security outside gallery hours)
  • Any additional set-up time will be charged a fee
  • An ICA troubleshooter for the duration of the event - (An additional fee will apply outside office and gallery hours)
Exhibition Guidelines:
  • ICA exhibitions open to clients upon requests. (Clients will be charged at cost for extra security in galleries after regular hours).
  • No food or drink allowed in exhibitions
  • There are no rentals allowed between exhibitions. During that time the galleries will be closed for installation
Building Guidelines
  • Decorations/Entertainment:
    • Clients are not permitted to hang anything on walls
    • ICA must approve all decorations
  • Any outdoor entertainment must be approved by Residential Life
  • No smoking in the building (Smoking permitted on terrace)
Additional Spaces

When galleries are not housing exhibitions - (usually during the summer) they may be available for special events.

Delivery and Pick-up of Rental furniture and Equipment

If a caterer/client arranges for rental equipment, s/he must clear the proposed dates and times of delivery and pick-up in advance with a representative of ICA. The caterer must arrange placement of any equipment within ICA with an ICA representative so that s/he can direct the rental company. Rental equipment should be picked up by next business afternoon.

Use of ICA Furniture and Equipment/Set-up for Furniture and Equipment

Use of any ICA's furniture of audio-visual equipment must be arranged with an ICA representative in advance. Caterers/clients are responsible for setting up all furniture, whether from ICA or a rental company. All furniture and catering equipment must be arranged in such a way so as not to block fire exits. Heating equipment must be located in such a way so as not to overload individual circuits. Any extension cords must be taped down so it's not to present a hazard to caterers or guests.

ICA Staff Liaison

ICA will provide a staff member who will remain on the premises for the duration of the event. This staff member's responsibility include opening and closing the building and galleries, as well as being on call should any problems with ICA's facilities arise. This staff member is not responsible for assisting the caterer with set-up or clean up or any service for the event.
(An additional fee will apply outside of office and gallery hours)

Maintenance and Clean-up

ICA requires that its facilities be left in the same condition in which the caterer/client finds them.

  • All equipment supplied by ICA is to be stacked and returned to the same area in which it was found.
  • Sweeping and/or mopping are mandatory. A caterer/client is expected to provide his or her staff with the necessary equipment, or make arrangements in advance to use ICA equipment.
